Choose the type of transport you need

Exhibition and conference transport in Dubai covers every car movement around a show: delegates from DXB or DWC to their hotels, daily runs between hotels and the venue, VIP speaker and ministerial-level pickups, and exhibitor teams on build-up days. We run it with chauffeur-driven sedans, SUVs and vans, planned from your delegate list, with one dispatcher for the whole show. It’s the trade-show side of our event transportation service.

The shows we plan around most are held at Dubai World Trade Centre and the Dubai Exhibition Centre at Expo City Dubai, plus ADNEC in Abu Dhabi. The busiest weeks are listed below, with the dates we’ve confirmed.

Opened in 1979, DWTC has long been the centre of Dubai’s trade-show calendar. Its halls run from the Sheikh Rashid and Sheikh Maktoum halls through Halls 1–8 and the Sheikh Saeed Halls to the six Za’abeel Halls, and which gate you use depends on the hall. The Dubai Exhibition Centre finished the first phase of its expansion in early 2026 and now has 140,000 square metres of space. The biggest shows now use it, on its own or alongside DWTC.

Parking at DWTC is covered in our DWTC parking guide, and the Expo City options in how to get to Expo City Dubai.

What delegate transportation covers

Airport arrivals

delegates met in arrivals at DXB or DWC with a name board, flights tracked, 45–60 minutes of free waiting after landing, then straight to the hotel.

Daily hotel–venue runs

sedans and vans on a fixed timetable from each hotel in the morning and back at show close, or cars on call for each delegate.

VIP speakers and ministerial-level guests

a first-class or ultra-luxury car, a briefed chauffeur, a named meeting point and a held car at the venue for the whole day.

Exhibitor move-in days

early starts for stand teams during build-up, with vans for people and hand luggage. Stand materials and freight go through the organiser’s official freight forwarder; we move the people and their hand luggage.

How do daily shuttles between hotels and the venue work?

Daily delegate shuttles run on a timetable you approve. Each hotel gets set departure times in the morning, for example every 30 minutes from 7:30 to 9:30, and set pickups from the venue after the show closes. Cars and vans run the loop with named chauffeurs, so delegates see the same faces every day.

Which vehicles depend on how many people each hotel sends:

Delegates per departureVehicleWhy
1 to 3Business sedan (Mercedes E-Class, Lexus ES)Door-to-door, no waiting for others
4 to 6Mercedes V-Class or GMC YukonOne vehicle, room for laptop bags
7 to 8Mercedes Vito or Toyota HiAce VIPThe largest single van we run
9 to 12Two vans on the same departureFaster boarding than one bigger vehicle
13 or moreA minibus or coach, 13 to 53 seatsOne departure, one timetable, lowest cost per delegate

For senior people, skip the timetable. A car and chauffeur on hourly or daily hire waits at the venue and leaves when they do. Our van rental with driver page lists seats and luggage for every van.

At show close, everyone leaves together. DWTC’s taxi rank is in the Transportation Hub across Al Mustaqbal Street, reached by a footbridge from the Convention Gate, and much of the show heads there at once. That’s the moment a pre-booked car earns its fee. We agree a pickup point for each group and the dispatcher releases the cars as delegates come out.

VIP speaker and ministerial-level pickups

Senior guests get a different service from the delegate loop. A keynote speaker or a visiting minister has a car and chauffeur for the whole day, parked near the venue and moved only on instruction.

Before the day, we need three things from the organiser or the guest’s office: the arrival details, the protocol contact, and the entrance the organiser has set aside for VIPs. The chauffeur is briefed on all of it, including car order if the guest travels with advisers in a second car. Name boards can show an office or a code instead of a name.

For these guests we use the Mercedes S-Class, BMW 7 Series, Mercedes-Maybach or a Rolls-Royce Ghost, with a GMC Yukon or V-Class for the delegation that follows. We don’t provide security; if the guest has a protection team, we follow its plan.

Peak show weeks in Dubai and Abu Dhabi

These are the weeks when executive cars and vans across the city book up first. Dates are from each show’s official site.

Two things catch people out. GITEX Global has moved: after years at DWTC in October, the 2026 edition is in December at Expo City. And Gulfood and WHX now run across both venues at once, so a delegate with meetings at each spends part of the day on Sheikh Zayed Road. The organisers ran shuttle buses between DWTC and Expo City in 2026; a car on hourly hire moves you on your own timetable instead.

How do you get to GITEX Global at Expo City?

For GITEX Global 2026 (7–11 December), go to the Dubai Exhibition Centre at Expo City Dubai, not DWTC. By car it’s about 30 minutes from Downtown and 35–45 minutes from DXB outside peak traffic, with drop-off at the DEC’s North or South drop-off points off Boulevard 2020 Street. The Metro alternative is Expo 2020 station at the end of the Red Line.

For GITEX transport, we book exhibitor teams on daily vans from their hotels and put VIP visitors in sedans on hourly hire. Morning traffic on Sheikh Zayed Road towards Jebel Ali can be heavy, so we set departure times earlier than we would for DWTC. The GITEX Global transport guide has the full plan, including hotel choice.

Conference transportation planning timeline

Most show transport problems start with a late booking. This is the timeline we work to:

WhenYou sendWe do
8–12 weeks beforeShow dates, hotels, rough delegate and VIP numbersHold vehicle classes for the show week
4–6 weeks beforeDelegate list, VIP list and protocol needs, daily programmeDraft movement plan and a quote per car per day
1–2 weeks beforeFlight details and final hotel allocationFinal movement sheet, chauffeur allocation, pickup points
Show weekChanges by WhatsApp to one dispatcherDaily sheet, cars on call, end-of-day pickups
After the showNothingOne VAT invoice with a trip-by-trip list

For GITEX, Gulfood and WHX weeks, start at twelve weeks. Executive cars across Dubai get booked early for those dates, and a held car six weeks out is easy; the same car six hours out often isn’t there.

How much does conference transport cost?

Published Dubai rate cards from September 2026 put a business sedan with chauffeur at AED 600–1,300 for a full ten-hour day, an S-Class at AED 1,400–2,500 and a Mercedes V-Class at AED 1,400–1,600. We quote show transport per car per day, with airport runs priced as fixed transfers. Every price includes fuel, Salik, parking and VAT. Companies and organisers can book on a corporate account and receive one VAT invoice with every trip itemised.

Exhibition and Conference Transport in Dubai: frequently asked questions

A pre-booked car that drops you at the marked drop-off point nearest your hall, then collects you at an agreed point at show close. DWTC also has its own Metro stop, World Trade Centre station on the Red Line, which is quicker than a taxi queue if you travel light.

No. GITEX Global 2025 was at DWTC in October, but GITEX Global 2026 runs from 7 to 11 December at the Dubai Exhibition Centre, Expo City Dubai. Plan hotels and transport around Expo City, about 35–45 minutes from DXB.

No. We run sedans, SUVs and vans of up to 8 seats, and we split larger groups across several vans on the same timetable. For hundreds of delegates, pair our cars for VIPs and speakers with the organiser’s shuttle buses for general attendees.

Eight to twelve weeks ahead for GITEX, Gulfood, WHX and other large shows, and at least four weeks for smaller conferences. Final names and flights can follow later; the vehicle hold is what matters early.

Yes. We run daily cars and vans from Dubai hotels to ADNEC for ADIPEC (2–5 November 2026), about 90 minutes each way from DXB. Book the car for the day and the chauffeur waits at ADNEC, then drives you back after the show.
