For 40 guests you have two options. Six or seven vans land at the door looking like part of the event, and guests from different hotels don’t wait for a bus to fill. One or two coaches cost less and suit a single hotel pickup; we arrange those too, see bus rental in Dubai.
How we plan a multi-car event
A ten-car event runs on one timetable. This is how we build it.
- Guest list and run sheet. You send names, hotels, flight details for anyone flying in, the venue and the event timings. A spreadsheet is fine.
- Movement plan. We send back which car collects whom, from where and when, with drive times from each hotel and a buffer for traffic on the day.
- Staggered arrivals. Cars reach the venue in waves, in the order you want guests to arrive. Hotel porches and venue drop-off lanes fill fast, and a queue of chauffeur cars outside the entrance helps nobody.
- Holding area. After drop-off, cars wait in the venue’s driver holding area or a nearby car park, not circling. The dispatcher calls each car forward when its guest is ready.
- Return-trip windows. Guests choose a departure window, for example after dinner, after the awards, or last car. Cars are called up from the holding area in that order.
- One contact. Your event manager has one dispatcher on WhatsApp for every car on the night. Changes go to one person, and the chauffeurs get them in seconds.
If a VIP leaves early or the awards overrun by an hour, the plan changes with one message to the dispatcher.
What is VIP transport in Dubai?
VIP transport in Dubai means a pre-booked, chauffeur-driven luxury car for a high-profile guest, with the details handled before the guest thinks about them: a first-class or ultra-luxury car, a suited chauffeur briefed on the schedule, door service, and a discreet meeting point at the airport or hotel.
For red-carpet arrivals, the chauffeur works to the organiser’s timing. The car pulls up at the carpet mark, the chauffeur opens the rear door on cue, and the car clears the lane straight away so the next arrival can follow. Tell us about photographers and step-and-repeat positions and we’ll brief the chauffeur on where to stop.
We don’t provide security or close protection. If your VIP travels with a protection team, our chauffeurs follow that team’s instructions on routes, car order and timing.

Getting out after a concert or race night
The drop-off is easy. The pickup is where event nights go wrong: a full arena empties at once, and every taxi and ride-hailing car heads for the same few lanes. Our chauffeurs work around it. The chauffeur waits in a car park nearby instead of joining the queue. You message the dispatcher when you leave your seat, not when you’re already outside. And when the venue’s own lane is gridlocked, we agree a pickup point a short walk away from the main exit, where the car can actually stop.
The dates that fill every car in the city are in our Dubai events calendar, with venue guides for race days and stadium events such as the Dubai Rugby Sevens. New Year’s Eve is the hardest night of the year for transport. On 31 December 2025, Burj Khalifa Street and the roads around it closed to traffic from 4 p.m., with more closures as the night went on and roads reopening in the early hours. How much does event transportation cost in Dubai?
Event cars are priced by the hour for the time each car is with you, from the first pickup to the last drop-off. Published Dubai rate cards from September 2026 put a business sedan with chauffeur at about AED 90–120 an hour, a large SUV at AED 1,300–2,000 for a full day, a V-Class van at AED 1,400–1,600 a day, and a stretch limousine at AED 399–799 an hour. A Rolls-Royce Ghost runs about AED 5,000 a day. Our own rates by class are on the pricing page.
For a multi-car event we quote each car separately on one proposal, so you can see what the VIP cars cost compared with the guest shuttles. Fuel, Salik, parking and VAT are included, and there’s no night surcharge, which matters when the last guest leaves at 2 a.m.
How far ahead to book event cars
Book as soon as the date and venue are fixed. Six to eight weeks ahead is comfortable for a gala or launch in the cooler months, when Dubai’s event calendar is at its busiest. For the biggest nights, such as New Year’s Eve and major concerts and race days, book earlier. Single sedans and SUVs can often be arranged a few hours ahead on a normal day.

Yes. We run guests from Dubai hotels to Abu Dhabi venues such as Etihad Arena on Yas Island at a fixed price per car, and we pick up inside Abu Dhabi too. The cars wait during the show and bring guests back to Dubai afterwards.
